Your Commitment to us
When you confirm your purchase, you are accepting that these terms and conditions form the basis of any contract between Lincoln Castle and yourself.

The description and price of tickets you order will be on shown on the Lincoln Castle website at the time you place your order. Prices are in UK Sterling and inclusive of any applicable taxes with there are no surcharges whatsoever. Once you have paid, we will not increase the price of your tickets.

Entry to Lincoln Castle will be on the presentation of a ticket or voucher only. Tickets and vouchers are non-refundable and non-transferable. Only in exceptional circumstances and subject to availability can your booking be changed.
Children under 16 must be accompanied at all times. Proof of entitlement may be required for concession tickets.
Castle and Cathedral Joint tickets can be purchased at Lincoln Castle, Lincoln Cathedral and Lincoln Visitor Information Centre. If bought through the Castle website, visitors must collect a Cathedral voucher from the Castle before visiting the Cathedral.

Online Security
To ensure that your online shopping experience is secure, your credit/debit card details will be encrypted on a secure server to minimize the possibility of someone being able to read them as they are sent over the internet.

Unfortunately we cannot issue any refunds for cancellations.

Online Booking
Once purchased on-line tickets may not be used in conjunction with any other offer. No ticket may be resold.
Any discounts or offers on-line are available for limited quantities and periods only and shall not be available on bookings made by phone or in person.
Please bring along your booking reference number, print out or your e-ticket.
Prices are correct at the time of going to press and are subject to change without notification.

Annual Pass
Please note your Annual Pass is valid for the named individually only and cannot be transferred or refunded.
Children must be accompanied by an adult when using their pass. It is only valid for family trips and not valid for parties or school visits.
Your Annual Pass is not valid for special ticketed evening events however you may benefit from reduced rates.
Your Annual Pass gives you free entry to Lincoln Castle and any event day which is run by Lincoln Castle*. Unfortunately your pass does not include free entry to any event ran by a third party hire.
Access to certain areas of Lincoln Castle may be restricted due to adverse weather conditions. Restrictions may also occur during special events.
Opening times and dates may change without prior notice at the discretion of the Lincoln Castle management. Please check the website for details.
Lost or damaged cards will incur a £5 replacement administration fee per card.
Your Annual Pass must be presented to gain entry in Lincoln Castle otherwise full admission will be charged.
If you have purchased your Annual Pass online please present your confirmation email to the Shop or Ticketing Office for the registration of your card.
Castle management have the right to refuse entry and remove annual pass if fraudulent use is suspected where no refund will be given.
Castle management reserve the right to exclude certain events from the annual pass offer. Where this is the case, the information will be shared clearly and in advance of that particular event.
*Please check our event listings for validity of annual pass to all Lincoln Castle events.

Christmas Emporium Terms and Conditions for Enquiry Bookings
Thank you for expressing an interest for our Christmas Emporium event at Lincoln Castle. Your request has been passed onto the event team, and someone will be in contact within 3 working days. If someone has not been in contact within this time or you have an urgent enquiry, please contact our visitor experience team on 01522 554559

Please be aware that no booking is confirmed until a deposit has been paid and a hire agreement has been signed.

Please note:
If you change or add to your product range, you will need to submit a new application form or contact heritagehire@lincolnshire.gov.uk
All applicants must provide samples and/or photos of products and images of previous show set ups (these can be sent to heritagehire@lincolnshire.gov.uk ). This is essential information to aid in the selection process. Failure to provide this information will invalidate your application.

THIS IS AN expression OF INTEREST FORM ONLY. Completion of this form does not constitute a confirmed stall booking.

Terms and Conditions:
1. expression of Interest
i. expressions of interest should be made on the official form and all details requested must be given. The acceptance of any form by Lincoln Castle does not mean that an offer of a space at the event has been made. An expression of interest has been successful when the applicant has received a letter of confirmation from Lincoln Castle.
ii. Please send your completed expression of interest form and all relevant documentation to Stephanie Beecher at heritagehire@lincolnshire.gov.uk or Events Officer, Lincoln Castle, Castle Hill, Lincoln, LN1 3AA by Saturday 30th June 2018. All expressions of interest will be reviewed and successful applicants notified by email on the week commencing Monday 9th July 2018.
iii. Successful applicants will be sent a booking form and will be required to pay a 10% deposit. If the requested deposit is not returned along with the signed booking form within 30 days, your application will be terminated.
iv. All applicants must provide samples and/or photos of products and images of previous show set ups. At least 3 images are required and should accompany the expression of interest form.
v. Lincoln Castle reserves the right to refuse any application without necessarily giving the reason for doing so.
vi. Payment for the chalet space must be made in accordance to the confirmation letter received.
vii. Lincoln Castle reserves the right to vary the layout and positioning of the stalls if, in their opinion, such amendment is in the best interest of the event.

2. Build Up and Trading
i. Trading dates and times are as follows:

ii. Stallholders must ensure that their stall is set up and ready for trading at least 30 minutes prior to the opening of the event.
iii. Set up will be between 8.30am and 4pm on Friday 14th December and 7am and 9.30am on Saturday 15th December.
iv. Vehicular access to the site is strictly from 7am – 9.30am for each morning of the event. Access to the site by foot is between either 4pm to 5pm or 4pm to 6pm dependent on day and as detailed above in point 2.i
v. No vehicular access to the site is permitted from 8pm (with the exception of Saturday 22nd December) due to a private corporate hospitality offer during the week.
vi. Stallholders must only occupy the chalet that has been allocated to them on their official letter of confirmation.
vii. Stallholders are not permitted to extend beyond the boundary of the allocated chalet site.
viii. Stallholders must trade for the opening hours of the event and are not permitted to vacate or dismantle the stall before the event has closed.
ix. Stallholders are only permitted to trade the product lines that they have declared on their application forms.
x. Lincoln Castle reserves the right to prevent any stall from trading if it is deemed unsafe.
xi. Stallholders must not insert pegs or other fixings into the ground.

3. Vehicles
i. See 2.iii and 2.iv for information regarding vehicular access on a daily basis.
ii. Vehicles must adhere to the sites 5mph speed limit at all times.
iii. At the end of the event, on Saturday 23 December, vehicles must not be brought on to the site until permission from the Safety Officer/Event Manager is given. All stallholders must have vacated the site by midnight on Saturday 22nd December.
iv. No vehicles or trailers are to be parked adjacent to stalls.
v. Parking arrangements will be detailed in the letter of confirmation.
vi. No caravans or campervans will be allowed in the Castle grounds.

4. Housekeeping
i. Stallholders are responsible for the cleanliness of their chalets and surrounding area. We will not permit any build-up of waste or storage at the rear of the chalets.
ii. Stallholders must not use the bins in the event area. All refuse must be placed in bags and taken to the compounds provided or removed from site.
iii. All fixtures and fittings, inclusive of nails, hooks etc. from the chalets must be removed at the end of the event.
iv. Chalet keys should be returned to the Event Manager prior to exiting the site on Saturday 22nd December.
v. Stallholders must not dispose of any liquids, solids, grease, litter or other waste to the detriment of the site.
vi. Please note, no animals are permitted in the grounds of Lincoln Castle, with the exception of assistance guide dogs.

5. Power Supplies
i. Each pitch comes with access to a 16amp power supply. Lighting is provided inside the chalet and an external string of fairy lights at the front of the chalet.
ii. Stallholders must ensure that all electrical equipment meets current legislation.
iii. PAT certificates must be provided to Lincoln Castle, in advance of the event, for all portable appliances. Failure to do so will mean you will not be permitted to use it whilst on site.
iv. Gas and electrical heaters are not permitted.

6. Environmental Health, Safety & Trading Standards
i. Any stall selling/giving away food items must give full details on the application form.
ii. Stallholders must comply with all relevant environmental health, safety, food hygiene and trading standards legislations and regulations.
iii. Food hygiene certificates must be provided to Lincoln Castle in advance of the event.
iv. A Food Hygiene Rating Scheme certificate must be provided to Lincoln Castle in advance of the event. Only traders with a minimum score of 4 will be accepted.
v. Traders must not smoke in or around the designated chalet zone.

7. Alcohol
i. If you are selling alcohol at the event, this must be detailed on your application form.
ii. Stallholders selling alcohol at the event must provide Lincoln Castle with their licence number prior to the event.
iii. Stallholders selling alcohol at the event must have a copy of their licence at the event.
iv. Lincoln Castle operates a strict challenge 25 policy

8. Insurance
i. All stallholders must send in a copy of their public liability insurance in advance of the event. Public liability insurance must be held to the minimum value of £5,000,000.
ii. Any stallholder unable to provide a copy of their public liability insurance in advance will not be permitted to stand at the event.
iii. Stallholders are required to hold insurance for the items they are selling. Lincoln Castle will not be responsible for items that are damaged or missing during the event duration.

9. Fire
i. Appropriate stalls must complete the Fire Risk Assessment form available from Lincoln Castle and uphold any terms and conditions requested by the Lincoln Castle Event Team.

10. Cancellation of the event
i. In the unlikely event of the Lincoln Castle Christmas Emporium event being cancelled, (wholly or in part) the organisers are not liable to refund rent to stallholders. We strongly advise exhibitors to take out event cancellation insurance to cover any such costs.
ii. If a stallholder wishes to cancel their place at the event, we require written notification by email or post and the stallholder will forfeit their deposit.
iii. If a stallholder wishes to cancel their place at the event within the 8 weeks leading up to the event start date, they will remain liable for any outstanding balances due until we are able to re-allocate the stall. The stallholder is not permitted to liaise and sublet to a different trader directly – this is solely the responsibility of Lincoln Castle.
11. Refreshments and Accommodation
i. Complimentary tea and coffee will be provided to stall holders.
ii. Further details on accommodation providers will be offered in the letter of confirmation.
